Viewing and Managing Attendees

Learn how to view attendee details, manage bookings, and monitor event capacity through your WordPress dashboard using GF Events Manager.

Accessing the Attendees List

When you edit an event in WordPress, you’ll find a new Attendees panel under the event content. This panel lists all attendees who have booked through the connected Gravity Form.

For each attendee, you’ll see:

  • Name
  • Email Address
  • Tickets Purchased
  • Attendees (Quantity)
  • Total Amount Paid (£)
  • Event Title
  • Entry Details Link

If no attendees have booked yet, a message will appear:

No attendees yet.

Approving or Rejecting Bookings (Optional)

If booking approval is enabled in the plugin settings, each attendee will display a Status column with actions:

  • Pending — Awaiting review.
  • Approve — Click the Approve button to mark the booking as approved and automatically trigger the booking approved notification from Gravity Forms.
  • Reject — Click the Reject button to mark the booking as rejected and automatically trigger the booking rejected notification.

Exporting Attendee Data to CSV

When you export data from the event, you have access to any fields you have added to your form, not just the basic attendee information shown above.

Steps:

  1. Scroll down to the Attendee Export box on the event editing screen.
  2. Select which fields you want to include in the export (e.g., Name, Email, Number of Tickets).
  3. Save the event to apply any changes.
  4. Click the Export Selected Fields to CSV button.

The exported CSV file will include one row per attendee with the fields you selected.

Tip: Always save the event after adjusting the selected export fields to make sure your changes are applied before exporting.
